PROJECT COORDINATOR

Are you familiar with one of the world’ s leading media and entertainment companies in development, production, and marketing of entertainment, news, and information? Our client owns and operates a valuable portfolio of news and entertainment television networks, a premiere motion picture company, significant television production operations, a leading television stations group, and world-renowned theme parks.

Responsibilities
  • New Hire Onboarding
  • Discuss weekly new hire list with HR contacts
  • Reach out to hiring managers to discuss equipment and software requirements
  • Procure\Identify equipment and provide to System Analysts
  • Procure software applications
  • Create pertinent Service Now Requests and assign to appropriate parties
  • Follow up with new hire and Hiring Manager after setup is complete Procure Workplace Technology (including computers, software, peripherals)
  • Identify end user requirements and specifications
  • Engage vendors to obtain quotes
  • Provide requestor with quote information\options
  • Process purchase in accordance with NBC Universal equipment and software licensing policies.
  • Maintain Licensing inventory
  • Maintain log of all purchases processed
  • Resolve inquiries re: purchasing and orders from various departments and escalate to Manager if applicable Oversee PC Refresh and Asset Management for all Supported Business Units
  • Create yearly PC refresh scheduled based on identified opportunities\ Provide to PC Refresh Team
  • Physically verify PC refresh opportunities monthly\provide updates to PC refresh team
  • Host weekly meetings with PC Refresh Team
  • Maintain PC refresh records for supported Business Units
  • Ensure Online Asset Database is kept up to date Oversee Local Ticket Queue
  • Assign Service Now tickets to Analyst pool
  • Ensure ticket load is spread evenly amongst analysts Employee Terminations
  • Maintain employee termination communication with HR contact
  • Identify all equipment assigned to exiting employee
  • Reach out to exiting employee and hiring manager to arrange equipment return
  • Create Service Now tickets for equipment removal
  • Process equipment for redeployment\decommissioning
  • Update asset database Large Workplace Deployments
  • Along with Lead Analyst, coordinate schedule and logistics Department Moves
  • Along with Lead Analyst, Coordinate schedule and logistics
  • Make all arrangements for a War Room
  • Ensure all supplies for the War Room are in place\ordered
  • Ensure logistics are communicated to project team Small to Medium Project/Effort Management
  • Identify scope/responsibilities pertaining to the supported groups
  • Tracking and reporting on project/effort progress
  • Load balancing among team members' workloads Asset Management
  • Track/monitor asset counts and resolve variations
  • Track/monitor asset discrepancies and stale data
  • Loaner asset tracking ServiceNow/Ticketing
  • SME for analyst onboarding
  • Queue management backup
  • Ticket Monitoring
  • Identify and build/publish reports as needed Maintain IT-specific Distribution Lists Maintain solid understanding of new workplace technologies

Qualifications
  • Minimum 1 year of experience in a related capacity, preferably supporting IT departments and workflows
  • Proficient working with computers, including expertise in Microsoft Excel, Outlook, Word, and PowerPoint
  • Must have working knowledge of using Excel pivot tables and vlookup
  • Must be able and willing to lift heavy equipment (up to 50 lbs. by self)
  • Must have experience using an IT ticketing system (ServiceNow experience preferred)
