Provide administrative support to the Gift Administration and Donor Services (GADS) teams responsible for gift processing, donor services, donor relations, and alumni affairs. Tasks for the department, include gift processing, scheduling meetings, inventory tracking and storage; and working closely with managers on the team to provide back up support as needed, including handling donor inquiries (via telephone, email, or written correspondence),   mail  pick-up and distribution.

Under the supervision of the Coordinator, GADS, research credit card chargebacks/disputes; correspond with donors and Gift Officers regarding returned checks; track inventory for GADS and external vendors; trouble-shoot and maintain folding/inserter and stamp machines; work closely with GADS managers to ensure adequate coverage; coordinate supplies orders; review recorded calls for Quality Control and SLAs; oversee correspondence related to returned or rejected donations.


General Donor Customer Service – Written and Verbal and phone customer support

Provide guidance and support on all complex donor phone calls. Provide excellent customer service to donors who call into the department on an 800 line.  The Admin  Assistant will provide information, resolve problems, and answer questions and requests made by donors.  A pleasant phone demeanor, patient and friendly approach, and a can-do attitude are required. Respond to written requests and complaints from donors requiring a personalized written response by communicating directly with the donors by letter or by email whenever the response requires no specialized follow-up from other Development Department management or staff. Coordinate responses to written requests and complaints from donors whenever the response does require follow-up from other Development Department management and staff.


Education and Experience:

Bachelor’ s degree preferred; Associates Degree required

            3-5 years development operations experience or experience in a comparable complex high-volume office environment; or equivalent combination of education and experience.
