Executive Assistant – San Francisco, CA 94104-2612

6 Month Contract to Hire (expected long-term resource only)

This role is in San Francisco and is to support the Client Management Group whose primary function is to build and expand client relationships at large organizations.

Responsibilities:
  • Assist with typical day-to-day administrative assistant duties including
  • Maintaining calendars and scheduling meetings
  • Preparing client documents
  • Entering weekly or monthly expense reports
  • Making travel arrangements
  • Scheduling restaurant reservations or arranging for catering
  • Ensure information being entered into proprietary tools (e.g. CRM tool) is accurate/complete and done in a timely manner
  • Responding to all emails in a timely manner.
  • Interact with clients to arrange meetings and, occasionally, take notes at meetings

Requirements:
  • Ability to work well with colleagues at all levels
  • Ability to interface with clients effectively
  • Strong organizational skills, with demonstrated ability to multi-task and prioritize effectively
  • A strong focus on detail and accuracy of work
  • Strong time management skills
  • Resourceful, proactive self-starter who can work independently
  • Follows through on agreed commitments
  • May require additional time commitment outside of normal business hours
  • High School diploma, Associates degree preferred
  • Outstanding technical skills in Microsoft Office Suite (PowerPoint, Word, Excel) and Outlook
  • Tech-savvy
  • Experience working directly with VPs/ Directors; handling a high volume of emails; calendaring/MS office tools.

    Will be providing support to 3 directors from the Client Management Group
