Client Information Processor, On-Site, W2 Contract

Major Responsibilities:
Provides optimal service to patients, physicians and third parties inquiring on release of information policies and/or request status via telephone or in writing in regards to previously remitted requests for release of information

Performance Expectations:
• Responds to telephone inquiries in a professional and courteous manner.
• Identifies department and name at the beginning of each phone call.
• Listens attentively to all that the caller has to say.
• Asks appropriate questions in order to facilitate an understanding of the request.
• Explains hospital policies in regards to release of information and laws which govern proper vs. improper release of information contained in the EMR.
• Explores all options before forwarding difficult calls to group leader or supervisor.
• Keeps abreast of all changes in regards to proper release of documents contained in the EMR.
• Responds to all written correspondence received/returned from patients, outside facilities and third party requesters within 10 days of receipt.
• Collects patient credit card payments over the phone maintaining patient confidentiality

Other Responsibilities

Receive and Record all faxed requests as required
• Faxes are managed through three inboxes
* The processor is responsible for keeping a list of all faxes received
* Prioritize urgent faxes
* Will follow up with requestor if information is unclear
* On a rotational basis, will be responsible for fax queues and will carefully review faxes to make sure they meet all departmental requirements before forwarding to be scanned for uploading into the legal health record

Prepares and submits appropriately requested records in response to authorized requests
• Upload records onto an encrypted USB, then send by UPS with instructions for the patient to call for password
• Perform QA on all records that are to be released before they are sent to make sure they fulfill the request.
• Complete processing within the allotted timeframe set by NYS regulatory guidelines
* Provide caring customer service, strong communication, and maintain good phone etiquette in a fast-paced, high-call volume, team environment
* Manage fax queues to ensure all incoming faxes are uploaded, itemized, and sent for scanning
* PDF records, QA and create USB/CDs
