Logistics (Inbound) Specialist

About the Role
We are seeking a detail-oriented, highly organized Logistics Data Specialist to join our Supply Chain and Logistics operations team. In this role, you will be the core link between our logistics colleagues, external business partners, internal departments, and customers. Your primary mission will be to ensure the seamless collection, validation, and management of shipping data, critical transportation documentation, and invoices.
The ideal candidate brings a solid foundational understanding of logistics operations, paired with intermediate-to-advanced Excel skills and SAP experience. You will thrive in a fast-paced, highly matrixed environment where accuracy, efficient data management, and proactive communication are key to tracking shipments and meeting requested delivery dates.
Key Responsibilities
1. Data Management & Compliance
Collection & Validation: Coordinate the smooth collection of operational data, invoices, and shipping documents via email and internal systems with key stakeholders and business partners.
Quality Control: Examine and audit logistics documents, production schedules, and material files to assess completeness, accuracy, and strict conformation to company standards and regulatory specifications.
Record Keeping: Accurately document, record, and maintain customer, client, and production metrics (including volume produced, raw material consumption, and quality control measures).
2. Shipment Tracking & Order Execution
History Monitoring: Actively monitor shipment histories, track milestone timelines, and execute logistical tasks according to pre-established operational plans.
Delivery Coordination: Ensure all deliveries successfully match the Requested Delivery Date (RDD).
Revenue Recognition: Secure Inbound Delivery Orders (IOD) to properly initiate and recognize organizational revenue.
Inventory Control: Monitor, requisition, and maintain balanced inventory levels of essential materials and supplies to seamlessly meet ongoing production and distribution demands.
3. Cross-Functional Coordination
Communication Hub: Serve as a collaborative team player distributing production schedules, work orders, and material priorities across multiple internal departments.
Special Projects: Support ancillary services and specialized department initiatives, working with a spirit of continuous improvement to optimize day-to-day data and materials workflows.
Required Skills & Qualifications
Top Core Skills Required:
Industry Experience: A solid grasp of general supply chain, shipping, or logistics operational workflows.
Excel Expertise: Intermediate-to-high proficiency in Microsoft Excel, with a proven ability to manage and manipulate large, complex data samples (vlookups, pivot tables, data sorting).
Data Management Systems: Direct experience navigating and entering data within SAP or equivalent Enterprise Resource Planning (ERP) software.
Documentation Accuracy: High level of precision in reading, interpreting, and generating shipping, transportation, and customs documents.
Additional Skills & Traits:
Detail-Oriented: Exceptional focus on spotting discrepancies in invoices, material requirements, or shipment logs.
Structured Problem Solving: Ability to work efficiently on routine problems by utilizing defined corporate practices, policies, and predetermined operational solutions.
Communication: Excellent written and verbal communication skills; comfortable managing high-volume email correspondence professionally.
Education & Experience Requirements
Education: Bachelor’s degree preferred; a combination of a High School Diploma/GED and equivalent practical field experience will also be fully considered.
Experience: 3 to 5 years of related experience in logistics coordination, data tracking, or supply chain administration is highly preferred.
