Key Responsibilities
? Procurement, Invoicing & System Management
Invoice Validation: Enter invoices accurately into the system, validate data, secure vendor proof of performance, and partner closely with corporate Finance and A/P teams to guarantee timely payments.
Discrepancy Research: Actively investigate and resolve any invoice or billing issues that arise, taking decisive action with vendors or internal partners.
Purchase Orders & Inventory: Generate vendor purchase orders within the BQMS system. Request inventory via the NERP system, partnering with supply chain and demand fulfillment teams to ensure timely shipments.
Data Forecasting: Gather and accurately input inventory forecasts for mobile devices and accessories into the GSCM system during critical program launches.
Contract Coordination: Proofread vendor contracts for absolute accuracy, assist leadership in executing agreements, upload final copies to corporate repositories, and maintain pristine records.
? Departmental Operations & Employee Management
Team Coordination: Manage daily employee operations, handle shift scheduling, distribute team duties, and directly participate in onboarding and training new hires.
Performance & Promotions: Support business growth by monitoring employee performance, coordinating with division leads, managing sales promotions, and identifying ideal goods/services to be sold.
Cross-Functional Collaboration: Partner with Marketing leads to submit program approval requests through the corporate portal, track status, and work alongside the Procurement department to finalize marketing vendors.
?Experience & Education
Degree: Bachelor’s Degree in Business, Operations, or a closely related field.
Overall Career Profile: 2-5 years of total professional experience.
Specialized Experience: A minimum of 1–2 years of hands-on experience in an operations coordinator, accounts payable support, or specialized administrative role performing similar data-driven tasks.
Payroll Exposure: Prior experience dealing with payroll processing workflows and handling wage attachments is highly valued.
