Position Summary:
Provide PM support and administrative/clerical support for department. Responsibilities may include, but will not be limited receiving incoming device shipments, working with customs teams, planning UPS/UPS Critical/FedEx/DHL shipments Domestic and international, Inventory management of devices and SIMs, managing/organizing provisioning/device service requests and extensions, flashing software updates to devices and shipping, downloading SW, labeling devices.
Essential Duties and Responsibilities include the following: Other duties may be assigned. In this position, either directly or through others, the incumbent will: Inventory, flash, and ship samples and coordinate device activation/extension requests for Dish.
PM Support (approximately 90%)
• Ship devices for all various stages of projects (Pre-P1, P1, FIT) etc including replacement devices. Ensure all documents, commercial invoice, SEDs and lithium battery documents are included. Track all devices during transit using UPS, UPS Express Critical (pink bag) and DHL. Collect confirmations via email once devices are hand carried to Dish.
• Maintain Dish, Strategic Accounts and tracking sheets for all projects.
• Update and maintain UPS address book and Outlook distribution lists.
• Deliver devices to Dish locations based upon urgency including SU submissions.
• Prepare SU packet for delivery (labels and confirmation).
Admin (approximately 10%)
• Performs general support duties, including mailings, copies, printing, coordination of schedules, office set up, maintaining office equipment, space planning, etc.
• Prepares expense reports, makes travel and accommodation arrangements or team members, schedules and plans meetings, appointments including scheduling conference rooms, maintaining meeting materials, and supplies.
• May be responsible for managing HQ meeting requests and transportation for VIP HQ visitors
• May be responsible for reconciliation and tracking of budget items
• Assist in events planning, including scheduling, catering, set up and break down
• Place Inventory Requests for devices as needed
• Shipping/Mailing/Packaging as needed.
• Assists Executive Admin with various needs. Performs word processing, prepares presentations, spreadsheets correspondence, contracts, internal memos, status reports, etc
• Updates and/or maintains various tracking spreadsheets, databases, and/or other office software records for the unit (e.g. time sheets, organization charts, schedules, and presentations).
• May assist in preparing all levels of reports, compiles data into comprehensible format, and provides information for the departments effective customer, internal, and company communications.
• Maintain office supplies for all dept. (STG and OPS teams).
• Create tickets for facility requests.
Background/Experience to qualify for this position, the following minimal background and skill levels are required:
• A high school education plus specialized executive secretarial training or some college courses in business administration or a related field, or equivalent work experience in executive office administration, executive services, and applied secretarial skills and practices.
• Specialized training in administrative, office services, and secretarial skills and practices.
• A minimum of 3-5 years experience in an administrative/office support position.
• Experience researching information and preparing communications.
• Experience developing presentations using a variety of PC applications, including word processing, spreadsheet, and graphic arts software.

Physical/Mental Demands and Working Conditions: The position requires the ability to perform the essential duties and responsibilities in the following environment:
• Operate a computer keyboard and view a video display terminal more than 90% of work time.
• Visual acuity, color distinction, and numeric and character detail distinction for the analysis and preparation of statistical reports and information.
• Lift, move, or adjust general office equipment, boxes, or materials weighing up to 25 pounds using proper materials handling equipment and procedures.
• Occasionally work additional hours beyond normal schedule.
